Keyring Live is a trading name of Fless Ltd, a company registered in England and Wales with company number 10445971, whose registered office is 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom. Contact us about privacy at hello@keyring.live.
Two different roles
Your fleet data. When a business uses Keyring Live, that business decides what to track and why. It is the controller of its drivers' and vehicles' data, and we are its processor: we handle that data only on its instructions, under our agreement with it. If you're a driver, contact your employer first about how your data is used.
Our own data. For this website, enquiries and customer accounts, we are the controller.
What we process for customers
- Vehicle location, speed, heading and ignition state, sent by the tracker while the vehicle is in use
- Trips built from that data, including start and finish addresses, routes and driving events such as speeding and harsh braking
- Vehicle data such as odometer, fuel level, battery voltage and engine fault codes, where the vehicle reports them
- Driver names, vehicle details and which driver is assigned to which vehicle
- Geofences and the alerts they produce
What we collect as controller
- Account details: name and email address of people who sign in, and passkey public keys if you use a passkey. We never see your fingerprint or face.
- Preferences: such as units and notification settings.
- Enquiries: what you send us by email.
Our lawful basis is the contract with our customers for account data, and our legitimate interests in answering enquiries and running the service securely.
Cookies on this website
With your permission, this website uses Google Analytics to count visits and see which pages people find useful. It sets cookies named _ga and _ga_JWQS3B906F, which last up to 2 years, and sends Google your browser details, rough location from your IP address and the pages you visit.
Google Analytics only loads if you choose Accept in the cookie banner. If you choose Reject, or don't choose, no analytics cookies are set and nothing is sent to Google. Our lawful basis is your consent. Your choice is saved in your browser so we don't ask again, and you can change it at any time with Cookie settings at the bottom of every page.
We don't use advertising cookies. Fonts are served from our own site.
The Keyring Live app uses a cookie to keep you signed in. That cookie is strictly necessary, so we don't ask for consent to set it.
Who we share data with
We use these suppliers to run the service. Each only receives what it needs:
- Google Cloud: hosting and databases, in the EU
- Google: sign-in, if you choose to sign in with a Google account
- Google Analytics: visit statistics for this website, only if you accept analytics cookies
- OpenStreetMap Foundation (Nominatim): turning trip start and finish coordinates into addresses
- FOSSGIS e.V. (Overpass API): looking up the speed limit of the road at a vehicle's position
- Map providers (OpenFreeMap, Esri, TomTom): your browser loads map, satellite and traffic images directly from them, which shares your IP address and the map area you're viewing
- Push notification services run by your browser or phone maker (Apple, Google or Mozilla) deliver alerts to devices you've turned notifications on for
- Simbase: the mobile data connection that carries data from the tracker to our servers
We don't sell personal data, and we don't use it for advertising.
International transfers
Our data is hosted in the EU, which the UK recognises as providing adequate protection. Where a supplier processes data elsewhere, we rely on the UK International Data Transfer Agreement or Addendum, or an adequacy decision.
How long we keep it
Fleet data is kept for as long as the customer's plan allows, then deleted. When a customer's plan ends, we delete their fleet data within 30 days. Account details are deleted when the account is closed. Enquiry emails from people who don't become customers are kept for up to 12 months.
Security
Connections between your browser and Keyring Live are encrypted, access to the service requires sign-in, and each business can only see its own vehicles. Drivers can only see their own trips.
Your rights
You can ask for a copy of your data, and ask us to correct or delete it, restrict or object to how we use it, or move it to another provider. For fleet data, we'll pass your request to the business that controls it and help them respond. Email hello@keyring.live.
If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office.
